Reservations Process:
  • Who can reserve RWC Facilities?

    • Registered Student Organizations, Campus Departments, and occasionally external organizations may rent some facilities to hold events. Individuals cannot reserve facilities.
  • How do you request an event?

    • Go to http://www.rec.ucf.edu and fill out a facilities request form under the facilities tab.

  • What Facilities are available to reserve?

    • Most RWC facilities are available to reserve. Some areas are more difficult to reserve due to scheduling, such as the group exercise room. Room 206 is the only room that is typically not reserved for non-RWC meetings or events.

  • How far in advance must a reservation be made?

    • It is recommended that reservation requests be submitted 4-6 weeks prior to the requested date, however requests will be considered up to 3 weeks prior to the requested date. Requests submitted less than 3 weeks prior to the requested date will not be considered. Reservations requiring a SAFE form should be submitted no later than 4 weeks prior to the requested date.

  • What events require a SAFE form?

    Any event that…
          • Exceeds 200 people
          • That has catering involved
          • Includes any large scale sound equipment
          • Includes any external vendors (inflatable games, DJ, carnival rides)
          • Includes any event that involves any fire or fireworks
          • Includes any event deemed potentially hazardous by RWC staff

    Where can I find the SAFE form?

    • The SAFE form can be found on the OSI website at www.getinvolveducf.com. There is also a link to the OSI website at the bottom of the Recreation & Wellness Center website.

    What comes first, the SAFE form or facility request?

    • The facility request. A SAFE form should NEVER be submitted without at least a tentative reservation.

    Who do I turn the SAFE form into?

    • The RWC Facilities Scheduler at least 20 days prior to the event if the event takes place at RWC facilities.

    But the OSI Website & SAFE form say it has to be turned in 15 days prior?

    • Yes, the SAFE form must be submitted to OSI 15 days prior to the event, however the SAFE form must be approved by the RWC before it is submitted to OSI. It must arrive at the RWC early in order to allow for enough time to review and get an authorized signature on the form. Once the RWC approves the SAFE form, it will automatically be forwarded to OSI by the 15 day deadline.

    Will my event require a Certificate of Liability Insurance?

    • It depends on the specifics of your event. Check with the RWC Facilities Scheduler to be sure. Most vendors and all external groups will be required to provide one.

    Do UCF departments have to fill out a request form?

    • Yes, anyone requesting use of an RWC facility must fill out the appropriate online request form.

    Do UCF department events require a SAFE form?

    • Yes, any event that involves an activity that would require a SAFE form must have one approved. Be sure to schedule a planning meeting with the RWC Facilities Scheduler as soon as you start planning for an event at an RWC facility.

    What if my event is not at an RWC Facility? What do I do then?

    • Each facility here at UCF has slightly different policies and procedures. If you plan on hosting an event at a non-RWC facility, check with that facility for their policies and procedures.


  • Lake Claire:

    When can I reserve Lake Claire?

          • The Leisure Pool is available for reservation most days of the year. For questions about specific dates,       contact the RWC Facilities Scheduler at 407-823-2408.
          • RWC Facilities cannot be reserved on home UCF football game days.
  • Where can I park?

          • Limited parking is available at Lake Claire. Parking lot H-10 is located at Lake Claire and is a “Green Lot” where D-permits and above are permitted.
          • Visitor parking is available in accordance with UCF Parking Services policies.

  • What are the rules at Lake Claire?

          • No alcohol is permitted on the premises (Except UCF Home Football Games in accordance with       • UCF Game Day Policies)
          • No driving or parking on the grass is permitted at any time
          • All garbage must be disposed of in proper receptacles
          • No permanent alterations shall be made to the Lake Claire Facility
          • Digging is prohibited
          • No pets are permitted except those providing assistance to users with disabilities
          • No feeding, harassing, or approaching any wildlife (including but not limited to alligators, squirrels, raccoons, snakes, and possums)

  • Can I rent a canoe?

          • Yes, canoes and kayaks are available to use during open hours and reservations.
          • If you would like to use vessels as a part of your reservation, please indicate that on your request.
          • A valid UCF ID must be used to sign out a vessel and a sign out form must be filled out.
          • Liability waivers must be signed by all boat users and passengers.
          • One life jacket per person is mandated to be present on each boat. The RWC strongly encourages users to wear a life jacket when using a boat.
          • All boats must return to the boat house 15 minutes prior to the facility closing.

  • Is swimming allowed in the lake?

          • The Recreation & Wellness Center discourages users from swimming in the lake.
          • There are no lifeguards present at Lake Claire.
          • Users who choose to swim do so at their own risk.

  • I’ve heard there is an alligator living at Lake Claire. Is this true?

          • Yes, there is at least one alligator living in Lake Claire. It is estimated to be 4-5 feet in length and       is frequently seen swimming in the lake. Should you see an alligator while on the shore or from a       boat, do not approach it, harass it, or feed it. We ask that users respect all wildlife living in the       • Lake Claire recreational area.

  • What if it storms?

          • The RWC operates a lightning detection system called ThorGuard. If lightning is detected in the       area, ThorGuard will sound 1 loud siren and ALL outdoor activities including Lake Claire       reservations will cease until lightning has cleared the area. ThorGuard will indicate when it is safe       to return to activities by 3 short sirens.
          • All vessels on the water should return to the boat house immediately when severe weather is       indicated.
          • RWC Staff will provide safety warnings to users at Lake Claire.


  • Lap Pool:

    What times can I reserve?

          • The Lap Pool is available for reservation most days of the year depending on the open recreation       schedule. For questions about specific dates, contact the RWC Facilities Scheduler at 407-823-2408.
          • RWC Facilities cannot be reserved on home UCF football game days.
  • Where can I park?

    •       • The closest parking to the Lap Pool is Parking Garage B.  A valid UCF Parking Decal is required.  Visitors        may purchase a visitors pass from the yellow boxes located in the corners of the parking garage.
    •       • Parking is strictly prohibited in any grass, dirt, or non marked areas near the pool.

  • What are the pool rules?

    •       • All participants must have a photo ID with them to enter the pool area.
    •       • No alcohol is permitted on the premises.
    •       • No tobacco products (smoking or chewing) permitted.
    •       • No diving.
    •       • No running on the pool deck.
    •       • No food or drink is permitted within 4 feet of the pool.
    •       • No glass containers of any kind.
    •       • All garbage must be disposed of in proper receptacles. 
    •       • No spitting, nose blowing, or discharging bodily waste into pool.
    •       • No coolers.
    •       • No pets are permitted on the premises except those providing assistance to users with disabilities.
    •       • Personal sound devices are permitted with the use of headsets.
    •       • All instructions given by Lifeguards or other RWC Staff must be followed at all times.
  • Is food permitted?

    •      • Yes, however food is not permitted within 4 feet of the pool edge.
  • What types of events are allowed at the Lap Pool?

    •       • The Lap Pool is not best suited for barbeques, parties, or other social events. If you would like an event like that, please consider reserving the Leisure Pool.
  • What if it storms?

    •       • The RWC operates a lightning detection system called ThorGuard. If lightning is detected in the area, ThorGuard will activate sounding 1 loud siren and ALL outdoor activities, including Leisure Pool events.
            • A determination will be made by RWC Staff based on the time of day and predicted weather forecasts whether the pool will reopen.
            • ThorGuard will indicate when it is safe to return to activities by sounding 3 short sirens.
            • RWC Staff will provide safety warnings in the absence of an alarm system.
            • RWC Staff has the authority to close a facility based on visual observations of severe weather.
            • All instructions given by RWC Staff must be followed.
  • How man lanes are in the Lap Pool?

    •       •There are 6 lanes, 5 are separated by surface lane dividers.
  • How deep is the water?

    •       • The lanes are 4 feet deep
            • The diving well is 11 feet deep

  • Leisure Pool:

    What times can I reserve?

          • The Leisure Pool is available for reservation most days of the year. For questions about specific dates, contact the RWC Facilities Scheduler at 407-823-2408.
          • RWC Facilities cannot be reserved on home UCF football game days.
  • Where can I park?

          • Appropriate swimwear must be work at all time. No thongs, transparent swimwear, jeans, or risqué bathing suits are permitted.
          • Large or loose jewelry is prohibited in the pool.
          • Lifeguards and RWC Staff will determine the appropriateness of any questionable attire.
  • How many people can be at the Leisure Pool?

          • The Leisure Pool bathing load is 141 persons
          • 1,000 people are permitted in the pool area
  • Are DJ’s allowed at the Leisure Pool?

          • Yes, DJ’s are permitted at the Leisure Pool for events with the proper approval
  • Is food permitted at the Leisure Pool?

          • Yes, food is permitted at the Leisure Pool. Groups wishing to serve food at their event must have prior approval.
          • Food and drink must be kept at least 4 feet away from the pool edge.
          • Catering is permitted and details must be arranged prior to your event with the RWC Facilities Scheduler.
  • Is grilling permitted at the Leisure Pool?

          • No, grilling is not permitted within the pool gate. There is a designated area just outside the pool gate for grilling and grilled food may then be brought into the pool area. A charcoal grill is available upon request.
  • What if it storms?

          • The RWC operates a lightning detection system called ThorGuard. If lightning is detected in the area, ThorGuard will activate sounding 1 loud siren and ALL outdoor activities, including Leisure Pool events.
          • A determination will be made by RWC Staff based on the time of day and predicted weather forecasts whether the pool will reopen.

          • Yes, there are power outlets located around the Leisure Pool and are marked on the Leisure Pool facility map.

  • How deep is the water?

          • The water ranges from 0-5 feet deep.
          • The Leisure Pool features a zero entry point, meaning you can walk directly into the water, like a lake or beach front.

  • RWC Park:

    What times can I reserve?

          • RWC Park facilities are available for reservation most days during the year. There are certain times RWC Park is closed to all activities due to maintenance. For questions about specific dates, contact the RWC Facilities Scheduler at 407-823-2408.
          • RWC Facilities cannot be reserved on home UCF football game days.
  • What facilities are available to reserve?

          • 3 Sportex Turf Fields
          • 1 Grass Field (9 acres)
          • 1 Softball Field
  • Where are the fields located?

          • The RWC Park is located directly south of Academic Village. The entrance is located at the Academic Village parking lot. Click here for a map of RWC Park.
  • Where can I park?

          • The closest parking to the fields is located at the south end of the Hercules AV parking lot (Student Decal Required)
          • Parking is strictly prohibited in any grass, dirt, or non marked areas near the fields.
          • Visitor parking can be found at the visitor parking lot located on the corner of Gemini Blvd. and Central Florida Blvd.

  • What can’t I bring?

          • Students made a large investment in the state-of-the-art turf fields, and protecting them from damage and misuse is a priority of the staff supervising the area. Keeping RWC Park clean and in good playing condition is in the best interest of all users.
          • The following items and activities are prohibited at RWC Park
          • Tobacco Products (Smoking or Chewing)
          • Sunflower Seeds or other shelled nuts
          • Chewing Gum
          • Pets (except those providing assistance to users with disabilities)
          • Metal Cleats or long spike track shoes
          • Cleats longer than ¾ inch
          • Food and Open Beverage containers (Food is permitted in the picnic pavilions, but not on fields)
          • Glass containers
          • Sharp Objects
          • Bikes, rollerblades, and skateboards
          • Fireworks or any other open flame
          • Golfing
          • Shot putting, discus, or javelin throwing
          • High pressure water spraying
          • Placement of any spikes into the ground
          • Chairs with pointed leg
          • Motorized Vehicles
          • Heavy static items without approval by RWC staff
          • Moving of any items or placement of any items on to the turf without RWC staff approval
  • What can I wear?

          • Shoes: Whatever shoes you wear on grass, can be worn on the Sportexe turf. Metal cleats and spikes are not allowed, but other rubber/molded cleats measuring less than ¾ inch are recommended. Closed toe shoes are required when participating in physical activity.
          • Clothing: If you are participating in athletic activities, proper attire must be worn during the entire activity. Unacceptable attire consists of jeans, cargo pants, pants with rivets. If you are a spectator, regular clothing is acceptable.
  • What happens if it rains?

          • The RWC operates a lightning detection system that predicts and monitors in real time changing atmospheric conditions. If lightening is detected, the ThorGuard Lightning System will respond with 1 loud siren and ALL outdoor activities including RWC Park reservations will cease until the lightning has cleared and the system has indicated clear conditions with 3 short sirens. RWC Staff will provide safety warnings in the absence of an alarm system. RWC Staff has the authority to close a facility based on visual observations of severe weather.
  • What is the Turf made of?

          • The green grass blades are made out of a polyethylene fiber which is "infilled" with a 70% rubber and 30% sand mixture. The entire turf system is manufactured by Sportexe®, which currently has fields at M & T Bank Stadium (Home of the Baltimore Ravens) and the Louisiana Superdome (Home of the New Orleans Saints). You'll be playing on the same exact surface as NFL teams and ones found in several collegiate stadiums.
  • So it’s like Astroturf?

          • No. Forget anything you know about the old carpet turfs that were popular in the 1970's and 1980's in places such as Three Rivers Stadium and the Astrodome. Since the RCA Dome converted to synthetic grass, there is no longer Astroturf being used in any NFL stadium. Knee injuries and turf toe associated with "Astroturf" made the surface dangerous, however the turf now used plays the same as natural grass and due to its consistent surface, can be even safer.
  • Are there lights?

          • Yes, the fields are equipped with a state of the art light system by Musco called Control-Link, which allows the lights to be controlled from a remote location. This allows night time activities to take place.
  • Are there power outlets?

          • Yes, there are power outlets located at the base of most light poles.

  • Multi-Purpose Courts:

    When can I reserve the Multi-Purpose Courts?

          • The Multi-Purpose courts are typically used only for RWC programming and open recreation. Limited time is available outside regular operation hours with special approval. For questions about specific dates, contact the RWC Facilities Scheduler at 407-823-2408.
          • RWC Facilities cannot be reserved on home UCF football game days.
  • How many courts are there?

          • There are 4 basketball courts divided by mesh dividers. The dividers can be raised so the courts are not divided.
  • Are there bleachers on each court?

          • No, only Court 1 has spectator seating built in. Our facility is not designed for large numbers of spectators.
  • Does each court have a score board?

          • No, only Court 1 has spectator seating built in. Our facility is not designed for large numbers of spectators.
  • What games can be played on the courts?

          • Basketball
          • Volleyball
          • Badminton (Court 1 & 2 only)
          • Dodgeball

  • Can equipment be checked out to use on the courts?

          • Yes, students may check out equipment from the Member Services desk inside the Recreation & Wellness Center. Non-student organizations (campus departments, external clients, etc.) may request use of equipment when making a reservation..

  • Outdoor Basketball Courts:

    When can I reserve the Outdoor Basketball Courts?

          • The Outdoor Basketball Courts are available for reservation most days of the year. For questions about specific dates, contact the RWC Facilities Scheduler at 407-823-2408.

  • Where can I park?
